• Arranges for and schedule appointments for the CEO, including interviewing callers and making proper referrals, prepares material and makes necessary arrangements for meetings as and when required and reminds the CEO of his commitments.
• Prepares letters, a portion or all of which may be composed or complied on the basis of personal knowledge of the subject matter. As instructed or in accordance with precedent, directs mail to other staff members for their action.
• Takes and transcribes dictation from shorthand or types from rough handwritten drafts ensuring correctness of spelling, punctuation and grammar.
• Studies reports received. Checks and compares with previous reports or other data, and brings to the attention of the CEO significant items, changes, errors or omissions.
• Maintains for the CEO up-to-date management manuals, directives, organizational charts and keeps him informed of changes.
• Organizes and maintains an efficient filing system for quick and easy reference.
• Assists the CEO in compiling reports and power point presentations for Board and Executive Committee Meetings and ensures that documents are distributed in a timely manner.
• Drafts standard letters and faxes as directed by the CEO
• Screens telephone calls, answers routine questions, takes messages and may refer caller to alternate source when appropriate.
• Acts as a receptionist for visitors, Company staff and co-ordinates with the CEO on unscheduled visits.
• Liaises with inter-office in gathering information and data as per directives, in compiling routine and special reports including follow-up.
• Ensures the CEO is kept informed of all outside contact whether written or verbal.
• Acts as a nerve centre of the CEO’s office in matters of general interest by ensuring circulation of notices, memos, reports etc.
• Arranges and coordinates the CEO’s travel arrangements/hotel bookings.
• Carries out set and/or specific special instructions, adheres to deadlines as per directives from the CEO
• Ensures availability and operation of all appropriate office facilities required by the CEO.
• Ensures that the Board Room and amenities in connection with Board and Executive Committee Meetings are well organized.

Proven work experience as a Personal Assistant
Knowledge of office management systems and procedures
MS Office and English proficiency
Outstanding organisational and time management skills
Up-to-date with latest office gadgets and applications
Ability to multitask and prioritize daily workload
Excellent verbal and written communications skills
Discretion and confidentiality
Bachelor degree in Business Administration would be considered an advantage
